Terms and conditions


All courses booked with inlingua Cheltenham are subject to the following terms and conditions. If you have any questions about them, please contact registrar@inlingua-cheltenham.co.uk.

1. How to apply

Please apply as early as possible so that we have time to process your application, find the most suitable accommodation for you, and make arrangements for your visa if one is required.

Once you have selected your course or courses

  1. You need to complete an Enrolment form, a Health Registration form and a Safeguarding form as fully as possible. inlingua Cheltenham cannot be held responsible for any medical conditions, allergies or special dietary needs which have not been disclosed to us when applying to our school. You will find an Enrolment form in our brochure, and you may also obtain one by email or post, or complete our online enrolment form.

  2. You need to calculate the total cost of your course by adding together:

    • Total tuition fee
    • £60 Registration Fee (unless you are a returning student)
    • Total accommodation price (if required)
    • £40 Accommodation Arrangement Fee (if booking accommodation)
    • Airport transfers and other transport services
    • Summer supplement (July and August)
    • Special diet (if applicable)

    All figures are on our fees page.

  3. Send your enrolment form to registrar@inlingua-cheltenham.co.uk, or complete the enrolment form on our website.

  4. Send the non-refundable Registration Fee and Accommodation Arrangement Fee upon receipt of your confirmation of enrolment letter.

  5. Send us your flight, train or coach details as soon as you have arranged your travel, even if you have not booked the airport meeting and transport service through the school.

  6. Tell us immediately if you have to change your course dates because of any delays, or if your visa has been refused.

  7. Pay the balance of your fees at least three weeks before your arrival date, using your invoice number and surname as the payment reference.

If you need a visa

If you are a visa student, upon confirmation of your enrolment and invoice you must pay a 15% deposit of the total invoice value before we can issue your visa support letter.

Upon successful completion of your visa application, full payment of the remaining fees must be paid at least three weeks before the course starts.

If you were unsuccessful in gaining a visa, upon receipt of a copy of your British Embassy refusal letter we will refund all monies paid except the non-refundable registration and accommodation fees (if we have already started to find a host for you), and any other costs that have been incurred, such as bank charges and courier fees.

2. How to pay

The invoiced total is normally for full payment in advance for the course and accommodation. All payments must be made in pounds sterling (GBP).

  • By cash direct to the school. Do not send cash in the post.
  • By sterling bank transfer through your bank, or via our website using Pay to Study
  • By credit card via our website, using Pay to Study

Protecting yourself against payment fraud

inlingua Cheltenham will never email you to say that our bank details have changed. If you receive any message claiming our account details are different from those published here, do not pay it. Telephone us on +44 (0)1242 250 493 to check before transferring any money.

If you are paying by sterling bank transfer, you should email or send a copy of the transaction with your enrolment form. Please ask the bank to include your name and invoice number or student number on the transfer.

Students are responsible for all bank charges, and the amount received by inlingua Cheltenham must be sufficient to cover the full amount on the invoice.

3. Payment requirements

Applicants will pay a non-returnable Registration Fee of £60 along with the Accommodation Arrangement Fee of £40 (if necessary) once their enrolment has been accepted. Failure to do so will stop the enrolment process.

For students who require a visa, a further deposit of 15% of the total invoice value plus all administrative fees should be paid upon receipt of the confirmation of enrolment letter and invoices.

Payment of the 15% will then be credited to your account, and only the remaining balance will be due three weeks before your arrival. We will send a confirmation of deposit payment along with your visa support letter.

Only after receiving the deposit are we able to issue a Confirmation of Enrolment and your visa support letter. This payment will be credited to your account and quoted in the visa letter, which allows visa officers to see that you are a genuine student who has already paid part of your course fees.

The rest of the course fee is payable in full no later than three weeks before the course commences. If a course is booked less than three weeks before the course starts, full payment should be made on receipt of the course confirmation and invoice, otherwise this will be subject to an interest charge of 8% per month or part thereof, up to the first day of the course and until payment is received.

We reserve the right to cancel or terminate any course that has not been paid for, and students will not be allowed to start their courses until payment has been received. You will not be reimbursed in lesson time for any lessons missed due to late payment of fees.

Please ensure that when you pay the fees, you also pay the bank charges for the transfer, so that the school receives the full amount. Shortfalls in payment will be requested and interest charged if need be.

Ensure when making your payment that you indicate who the payment is for — the name of the student and the invoice number — so as to avoid confusion.

If a student wishes to pay their accommodation fees in instalments, an administration fee of £25 per instalment will apply. Tuition fees should be paid in full before the course starts.

4. Failure to pay

We reserve the right not to accept a student, and to terminate without notice a course that has already begun, if payment is not made in full in accordance with our payment terms.

Failure to complete a booking via full payment and attendance at classes once a visa letter has been issued may also be reported to local authorities, border security or the Home Office.

6. Visas

You are responsible for obtaining the correct visa

It is the responsibility of the student, or their agent, to determine which visa or permission they need and to apply for it. inlingua Cheltenham is not an immigration adviser and cannot tell you which route to use, assess your eligibility or complete an application on your behalf.

Check your own position on the UK government website before you book: gov.uk/check-uk-visa. It asks a few questions about your nationality, the length of your course and what you intend to do, and tells you what you need.

Routes that permit English language study in the UK

The following are the routes most commonly used by students at a UK language school. This list is for general guidance only and is not immigration advice — the rules change, and only GOV.UK is authoritative.

inlingua Cheltenham is accredited by the British Council for the teaching of English in the UK, which means we are an accredited institution for the purposes of the Standard Visitor and Short-term study routes. Visas that require six months or more usually carry an immigration health surcharge in addition to the application fee; current fees are on GOV.UK.

Visa support letters and the 15% deposit

Where a student requires a visa, inlingua Cheltenham will issue a visa support letter — but only once payment has been received.

Upon confirmation of your enrolment and invoice, you must pay a deposit of 15% of the total invoice value, plus all administrative fees. Only after receiving this deposit are we able to issue a Confirmation of Enrolment and your visa support letter. The payment is credited to your account and quoted in the visa letter, which allows visa officers to see that you are a genuine student who has already paid part of your course fees.

The remaining balance is then due three weeks before your arrival. Full details are in payment requirements below.

7. Course considerations

General English

If there are fewer than three students on a General or Intensive English course, the number of lessons per day may be reduced according to the following scale.

We reserve the right to offer lessons in the afternoon should we, at our sole discretion, feel that this is in the students' or school's best interests.

Alternatively, if there are too few students in a class, that class may be combined with a class of a similar level, and the instruction will be adapted appropriately.

Bank holidays

Please note that there are no group course lessons on Bank Holiday Mondays. Students on short courses of one, two or three weeks will be offered extra lessons to compensate for the loss of lessons on Bank Holiday Mondays.

Any other school closures will be announced ahead of time, and compensatory classes will be offered where appropriate.

Extending your course

All students may extend their course and homestay, subject to visa restrictions and the availability of accommodation. We will add the number of weeks of the original booking to your extension, and this may mean you pay a lower price per week for your extension of tuition fees, depending on which price bracket you fall into. Please refer to the price list for details.

Taking holidays

If you have booked a course of 12 weeks or more and wish to take a holiday during your course, this is possible as long as you request the number of weeks you wish to take for holidays at the time you make your booking, and, when at the school, you give us four weeks' notice in writing before taking the holiday. We normally allow students to take a maximum of one week's holiday for every 12 weeks that they are at the school.

Holidays arranged after the time of booking, or that exceed those pre-booked, will be treated as absences, and you will lose those weeks of tuition.

If you wish to retain your accommodation, you must pay a retainer of £50 per week to the host while you are away. Alternatively, your luggage can be securely stored in a locked room at inlingua Cheltenham while you are away on holiday, for a fee of £50 per week. On your return you may not be with the same host.

If students shorten their study period after their course commences, there is no refund of fees.

Long-term bookings

Long-term students cannot reduce the length of their course by changing programmes. Under Home Office visa regulations, we are responsible and duty bound to look after you for the whole duration of your course.

Any students in breach of their visa will be reported to immigration.

8. Accommodation and examination fees

Accommodation fees

inlingua Cheltenham makes a charge of £40 for arranging accommodation. This charge is also applied if you change hosts, unless it is deemed that the host is unsuitable for you. Please note that changes are possible if there is a valid reason. The accommodation fees paid to us are used to pay your host.

We have a standard agreement with the host which stipulates that we must give them four weeks' notice if a student is going to change or leave. In exceptional circumstances — for example, where the host does not provide what they have promised — we may decide not to give the host four weeks' notice.

Examination fees

Examination fees for Cambridge examinations, IELTS and similar are not included in the course price and will be charged separately.

If there are fewer than five people enrolled on a GE30 programme specifically wanting to follow a published IELTS or Cambridge examination preparation Skills Session, we reserve the right to cancel the exam skills sessions and offer alternative skills sessions instead. In these rare situations we will also offer an extra programme of supervised self-study, in order to help students prepare for their exams.

9. Additional considerations

Activities and excursions

Activities and excursions are normally offered as optional extras. These activities are organised for students and offered either free of charge or at cost price, where a cost is incurred by inlingua Cheltenham.

Students who prepay activities on the summer programme will normally be guaranteed a place on the activities and excursions they have paid for; however, they must still sign up for all activities and excursions, so that appropriate staffing and transport can be arranged.

Photography, film, sound recordings and written work

During our courses we sometimes take photographs, film footage and sound recordings, some of which may be incorporated into — but not limited to — future publicity materials, social media sites, tests and educational material.

If you do not wish to participate in any of these, please inform the school.

Insurance

Students are responsible for providing their own insurance for the duration of their course. At minimum we recommend comprehensive travel and health insurance. Students may also find providers offering student-specific insurance.
